Microsoft is continuing to expand what Microsoft 365 Copilot can do. Rather than simply answering questions, summarising information or generating content, Copilot is increasingly being designed to take action across everyday Microsoft 365 workflows.

For businesses already using Outlook, Teams, Word, Excel and SharePoint, this represents another step towards AI becoming a practical workplace assistant rather than simply a writing tool.

What is changing in Microsoft 365 Copilot?

Until now, many businesses have mainly used Copilot to draft documents, summarise meetings, analyse information and help users find answers.

Microsoft is now developing more agentic AI capabilities. This means Copilot can work through multi-step tasks after being given an objective, with less input required from the user at every stage.

Potential examples include:

  • Organising and prioritising email
  • Following up outstanding actions
  • Preparing meeting summaries and notes
  • Producing reports from business information
  • Coordinating content across Microsoft 365 applications
  • Automating repetitive administrative workflows

The aim is to move Copilot beyond responding to individual prompts and towards completing defined pieces of work.

What does agentic AI mean?

Traditional generative AI usually responds to a direct request. A user asks it to draft an email, summarise a document or analyse a spreadsheet, and the AI returns a result.

Agentic AI goes further. It can interpret a goal, decide which steps are required and work through those steps using the information and applications available to it.

For example, instead of asking Copilot separately to review several files, produce a summary and draft an email, a user may eventually be able to provide one objective and allow Copilot to coordinate the process.

This does not mean businesses should allow AI to operate without oversight. It means routine workflows may require less manual effort while employees continue to review decisions and final outputs.

Why this matters for SMEs

Many small and medium-sized businesses lose significant time to repetitive administration.

Tasks such as chasing information, updating spreadsheets, preparing reports, organising documents and following up internal actions can consume hours every week.

Microsoft's wider strategy is to make Copilot part of everyday work, helping staff complete these processes more efficiently inside the tools they already use.

For professional services firms, this could mean less time spent on administration and more time focused on clients, deadlines and billable work.

However, the benefit will depend on how well Microsoft 365 is already configured. AI cannot compensate for unclear permissions, disorganised data or poorly managed user accounts.

Microsoft 365 security and permissions still matter

Microsoft 365 Copilot works within the permissions and access controls already present in the organisation's Microsoft 365 environment.

In principle, Copilot should only surface information that the user is already authorised to access. That makes existing permissions, sharing arrangements and data governance increasingly important.

If users have excessive access, outdated permissions or visibility of files they no longer require, AI may make those underlying problems easier to expose.

Businesses should therefore review:

  • User and administrator permissions
  • Access to SharePoint sites and shared files
  • Guest and external sharing
  • Departed user accounts
  • Multi-factor authentication
  • Device security and compliance

Microsoft 365 backup remains essential

Copilot does not remove the need for a reliable backup strategy.

Microsoft 365 provides resilient cloud services, but businesses remain responsible for protecting their own data against accidental deletion, malicious actions, compromised accounts and retention gaps.

As businesses use more automation, the ability to restore files, mailboxes and shared information becomes even more important.

A separate Microsoft 365 backup service can provide additional recovery options when data is deleted, altered or lost.

Backup arrangements should also be monitored and tested. A backup only protects the business if the required data can be restored within a useful timescale.

Businesses need the right Microsoft 365 licence

Not every Copilot capability is included with every Microsoft 365 subscription. Some features require additional licensing, and availability may vary by product, region and rollout stage.

Before committing to Copilot, businesses should confirm:

  • Which Microsoft 365 licences are currently assigned
  • Whether users need Copilot licences
  • Which features are generally available
  • Whether preview features are appropriate for production use
  • What governance and security controls are required

AI will not fix a poorly managed Microsoft 365 environment

Copilot can improve productivity, but only when the underlying Microsoft 365 environment is properly managed.

If files are badly organised, permissions are inconsistent or users do not understand where information should be stored, AI may return incomplete or confusing results.

Businesses should put the foundations in place before expecting significant value from AI. These foundations include:

  • Secure user identities
  • Clear access permissions
  • Well-organised SharePoint and OneDrive data
  • Managed business devices
  • Reliable backup protection
  • Appropriate security policies
  • User guidance and training

This is why Copilot should be considered as part of a wider Microsoft 365 strategy rather than as a standalone add-on.

Should businesses adopt Microsoft 365 Copilot now?

For some organisations, Copilot can already save time on meeting summaries, document drafting, email management and information analysis.

For others, the immediate priority should be improving the quality, organisation and security of their Microsoft 365 environment first.

A sensible approach is to begin with a small group of users who have clear, repeatable use cases. This allows the business to measure whether Copilot is genuinely saving time before rolling it out more widely.

Useful questions include:

  • Which repetitive tasks take up the most staff time?
  • Which users would benefit most from Copilot?
  • Is the relevant business information stored in Microsoft 365?
  • Are permissions and sharing arrangements properly controlled?
  • How will the business measure productivity improvements?

Microsoft 365 Copilot is becoming more capable

Microsoft's direction is clear. Copilot is being developed to do more than generate content. It is becoming a layer of intelligence and automation across Microsoft 365.

That creates significant opportunities for businesses, but it also makes Microsoft 365 governance, security and data quality more important.

Organisations with well-managed environments will be in the strongest position to benefit. Those with unclear permissions, fragmented data and weak security controls may need to address those issues before expanding their use of AI.
