Microsoft has announced a major OneDrive Copilot upgrade that brings AI and agents much deeper into the way people work with files. The aim is to make OneDrive less about opening documents one by one and more about asking questions, finding key information, comparing content and turning existing files into useful outputs.
For Microsoft 365 users, the important change is that Copilot in OneDrive is becoming a more active workspace for understanding and working across files — not just a search box sitting next to cloud storage.
Microsoft announced the update at its OneDrive + Copilot digital event on 20 October 2026, alongside simpler sharing and new photo features. The business impact is mainly around faster file analysis, AI agents built around selected files and folders, and less time spent opening multiple documents just to find the information you need.
What does the OneDrive Copilot upgrade add?
Microsoft says Copilot in OneDrive can work across the files you already have permission to access and help you understand them without opening each one individually.
Current capabilities include:
- asking questions across selected files
- summarising documents and identifying key points
- comparing information across multiple files
- finding trends, differences and important details
- creating new content from information already stored in OneDrive
- turning source files into presentations, PDFs and HTML reports
For businesses, that can reduce the amount of manual searching involved in preparing for meetings, reviewing projects or pulling information together from several documents.
What are OneDrive AI agents?
Microsoft is also expanding the role of AI agents inside OneDrive.
An agent can be created from selected files or folders and then used to answer questions, summarise information and identify changes across those sources. OneDrive saves the agent as an .agent file so it can be reopened or shared later.
That means a business could create an agent around a project folder, policy library, customer documentation or internal knowledge base and use it as a focused assistant for that specific set of information.
The agent does not bypass permissions. Users can only get answers from files they are already allowed to access.

Can OneDrive agents be shared?
Yes. Microsoft says an AI agent in OneDrive can be shared in much the same way as a file.
However, sharing the agent does not automatically grant access to all of its source material. The person receiving it must still have permission to view the files the agent is based on.
That is an important distinction for businesses because it keeps normal Microsoft 365 access controls in place rather than letting the agent become a back door into restricted content.
What does this mean for day-to-day Microsoft 365 users?
The practical benefit is speed.
Instead of opening six documents before a meeting, a user could ask Copilot to identify the main changes across them. Instead of manually comparing two versions of a proposal, Copilot can highlight the differences. Instead of reading a long report from start to finish, users can ask for the main points or request a new summary document.
This is similar to the direction Microsoft is taking elsewhere in Microsoft 365: moving from individual apps towards AI-assisted workflows that work across business information.
Do you need a Copilot licence?
For work and school accounts, Microsoft says Copilot in OneDrive requires an appropriate Microsoft Copilot licence.
Not every feature is available to every user at the same time, and Microsoft notes that OneDrive Copilot capabilities are still rolling out.
That means businesses should check licensing and availability before promising particular features to staff.
What about the new sharing and photo features?
Microsoft's October announcement also includes simpler sharing and a range of smarter photo features.
Those include AI-assisted photo discovery and new ways to work with personal photo collections. They are useful additions, but for most business customers the bigger story is the deeper Copilot and agent integration around documents, files and collaborative work.
What should businesses check before using it?
As Copilot becomes more capable inside OneDrive, the quality of your Microsoft 365 permissions matters even more.
Before encouraging wider use, businesses should check:
- whether users can access more files than they actually need
- whether old shared folders still contain sensitive information
- whether external sharing is configured appropriately
- whether project and departmental folders have clear ownership
- whether Copilot licensing is assigned to the right people
- whether staff understand that Copilot works within their existing permissions
AI does not fix poor access control. It can simply make existing information easier to find.
How does this fit with SharePoint?
OneDrive and SharePoint are already closely connected inside Microsoft 365, and Copilot increasingly works across both.
For example, Copilot in OneDrive can answer questions about SharePoint files that have been shared with the user, and Microsoft continues to expand AI features across document libraries and collaborative content.
